Privacy Policy

How we collect, use, and look after your personal information — written plainly and kept honest.

Last updated: 1 January 2025

kinfoldgag ("we", "our", "us") takes the privacy of every family we work with seriously. This policy explains what personal information we collect, why we collect it, how we use it, and what rights you have. If anything is unclear, please write to us at [email protected] — we are happy to explain further.

1. Who We Are

kinfoldgag is a family information and document organisation service based at 205 Pa Tong Beach Road, Kathu, Phuket 83150, Thailand. We provide educational workshops, guided conversation sessions, and organisational packages. We do not provide legal advice, represent clients, or hold any professional licence that would give us access to privileged information.

2. Information We Collect

Information you give us directly

  • Your name and contact details (email address, phone number) when you make an enquiry or book a session.
  • General background about your situation, shared voluntarily so we can prepare a relevant session.
  • Payment information processed through our third-party payment provider — we do not store card details ourselves.

Information collected automatically

  • Standard web server logs: IP address, browser type, pages visited, date and time of access.
  • Cookie data as described in our Cookie Policy.

We do not collect sensitive personal data (such as health records, financial account numbers, or identity document images) unless you choose to share them in the course of a session, in which case we treat them with the highest degree of discretion.

3. How We Use Your Information

  • To respond to your enquiries and arrange sessions.
  • To prepare session materials tailored to your stated needs.
  • To send booking confirmations and session reminders.
  • To process payments and issue receipts.
  • To improve our website and the quality of our service.
  • To comply with Thai law, including the Personal Data Protection Act B.E. 2562 (PDPA).

We do not use your information for automated decision-making, profiling, or targeted advertising.

4. Legal Basis for Processing

Under Thailand's PDPA, we process your personal data on the following bases:

  • Contract performance — to deliver the service you have booked.
  • Legitimate interests — to maintain our records, improve our service, and keep our website secure, provided these interests do not override your rights.
  • Legal obligation — where Thai law requires us to retain or disclose certain records.
  • Consent — for optional marketing communications, which you may withdraw at any time.

5. Who We Share Your Information With

We do not sell or rent your personal data. We may share it only with:

  • Our payment processor, to complete transactions securely.
  • Our email and scheduling platform providers, who process data on our behalf under data processing agreements.
  • Thai authorities, if required by law or court order.

Any third parties who handle data on our behalf are required to protect it and to use it only for the specific purpose we have engaged them for.

6. How Long We Keep Your Data

We retain your contact and session information for up to three years after your last interaction with us, so we can assist you if you return. Payment records are kept for seven years in line with Thai accounting obligations. After these periods, data is securely deleted.

7. Your Rights Under Thai PDPA

You have the right to:

  • Access the personal data we hold about you.
  • Request correction of inaccurate data.
  • Request deletion of your data where there is no legal reason to retain it.
  • Object to or restrict certain processing activities.
  • Withdraw consent at any time (without affecting the lawfulness of processing before withdrawal).
  • Lodge a complaint with Thailand's Personal Data Protection Committee.

To exercise any of these rights, please contact us at [email protected]. We will respond within 30 days.

8. Security

We use reasonable technical and organisational measures — including encrypted connections (HTTPS), access controls, and regular staff reminders — to protect your personal information from unauthorised access, loss, or disclosure. No online transmission is completely without risk, but we take the protection of your data seriously.

9. Cookies

We use a small number of cookies to make our website function and, with your consent, to understand how visitors use it. Please see our Cookie Policy for full details.

10. Links to Other Websites

Our site may contain links to external resources and official government offices. Once you leave our website, this privacy policy no longer applies, and we are not responsible for the privacy practices of other sites.

11. Changes to This Policy

We may update this policy from time to time. When we do, we will revise the "last updated" date at the top of this page. We encourage you to review it periodically. Material changes will be communicated by email to clients who have an active relationship with us.
